Frequently asked questions about DORIS

These questions and answers relate to the use of DORIS. For general questions about research data management and sharing, please refer to the FAQ section on Researchdata.se.

General information about DORIS

Who can share data via DORIS?

Individuals representing a research principal (forskningshuvudman), such as a university, another public authority, or a natural or legal person in charge of the organization where the research is conducted. Typically, it is researchers employed by a university who initiate and manage the data submission as representatives of their institution, the research principal.

Does it cost anything to describe and share data in DORIS and via SND?

No, it is completely free of charge. If very large amounts of data are stored at SND, a storage fee may apply at the organizational level.

About data descriptions in DORIS

What happens to the information I provide through the data description form in DORIS?

The metadata and data described in DORIS are published as an entry in the catalogue on the national portal Researchdata.se. Before publication, the information is reviewed, and you have the opportunity to approve the data description. Note that this review focuses on the documentation of the data and the data collection – not the scientific quality of the data.

What happens to the files I upload in DORIS?

Files are either stored on a storage area controlled by your organization or in SND’s certified repository, SND CARE. If files are stored at SND, this is solely for technical processing within DORIS. The files will not constitute public records at SND or the University of Gothenburg under Swedish law.

Contact SND at snd@snd.se to find out where files for your organization are stored.

How large can the uploaded data files be?

Currently, you can upload files up to 2 GB directly in DORIS. For larger files, contact SND at snd@snd.se for assistance.

Can SND receive data material that contains personal data?

Data containing personal data can only be shared via DORIS if your organization has an agreement with SND for this. Otherwise, you must ensure that the data are anonymized.

Can a data description be edited after publication?

Yes, when a data description has been published via DORIS, you can update the information or release new versions of the dataset. This is done via the New version action from within the data description in DORIS.

You can also add, for example, new associated publications to a dataset.

Can I describe data from ongoing projects in DORIS?

Yes, ongoing research can be described and made visible via DORIS. However, for a dataset to receive a DOI (persistent identifier), a saved version of the dataset must exist. Once data are published via DORIS and have been assigned a DOI, the dataset must not be altered. Instead, you can share new and updated versions of the dataset, each generating a new DOI.

How are research data reused?

Data are often reused for further research but also for education and student theses at undergraduate or postgraduate levels. Replication studies are an important form of research data reuse.

Can I see how many people have accessed my data after publication?

Yes, you can request statistics on how many times your shared material has been requested or downloaded by contacting snd@snd.se. Such statistics can support arguments for the value of making your scientific production openly accessible.

Responsibility for data in DORIS

Does SND take ownership of the data made available through DORIS?

No, the research principal retains ownership of the data described and shared. The research principal is the organization or the natural/legal person ultimately responsible for the research.

What happens if a designated primary researcher retires or passes away?

A primary researcher who is no longer active should remain listed as the primary researcher for the dataset. However, the contact person for the dataset should be updated to an active researcher.

Can I withdraw data that have been published?

Yes, the owner of a data description can always request to have a published dataset withdrawn and the catalogue entry unpublished.

For a published dataset with an assigned DOI, it is generally discouraged to withdraw the dataset unless there is a valid reason. SND will retain a “tombstone” page with basic metadata for the dataset. The reason for withdrawing the dataset should be documented in DORIS.
